Job Summary:

The Client Relations Specialist serves as the first point of contact for clients and visitors at our financial advisory firm. This role is responsible for creating a welcoming environment, providing exceptional customer service, managing front desk operations, and supporting the administrative functions of the office. The ideal candidate is professional, organized, and comfortable working in a client-focused, confidential setting.

Key Responsibilities:

• Greet clients and visitors in a professional and friendly manner

• Answer incoming calls, direct calls appropriately, and take messages

• Maintain cleanliness and organization of the reception area and conference rooms

• Process and distribute incoming and outgoing mail and packages

• Support financial advisors and office staff with administrative tasks and projects

• Maintain confidentiality and uphold compliance standards in handling client information

Qualifications:

• High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)

• Prior experience in a receptionist, front desk, or customer service role (experience in financial services a plus)

• Excellent verbal and written communication skills

• Strong organizational and multitasking abilities

• Professional appearance and demeanor

• Proficient in Microsoft Office Suite (Word, Excel, Outlook); CRM experience a plus

• Ability to maintain confidentiality and handle sensitive client information appropriately

Working Conditions:

• Full-time, Monday through Friday during standard business hours

• Office-based position
