Role Description

We’re looking for a part-time proactive, detail-loving Executive Assistant & Office Admin to help our CEO and team stay focused, organized, and running smoothly. This is a doer role — you’ll keep our office humming, handle daily tasks big and small, and take ownership of anything that frees up the CEO’s time.

The ideal candidate is someone who spots what needs to be done and just does it — no hand-holding, no waiting for instructions.

Office Management

  • Open and close the office daily (or ensure others do).
  • Keep the workspace tidy, stocked, and organized.
  • Coordinate cleaners, landlord, maintenance, and office vendors.
  • Order office supplies and manage deliveries, mail, and basic errands as needed.

Executive Support

  • Manage the CEO’s calendar and help protect focus time.
  • Filter the CEO’s inbox and flag high-priority items.
  • Draft or organize simple emails and reminders on behalf of the CEO.
  • Prepare agendas and take clear notes for meetings or calls — track action items and follow up.
  • Assist with occasional personal tasks or errands if needed (pick up dry cleaning, dinner reservations, schedule doctor appointments, etc)

People & Team Support

  • Onboard new hires: gather paperwork, create email accounts, and prepare welcome materials.
  • Keep employee records organized.
  • Coordinate team celebrations, birthday cards, or small morale-boosting moments.
  • Keep daily office routines on track (opening/closing checklists, time tracking).

Other Admin Support

  • Assist with light research, filling out forms, cost comparisons etc
  • Be the first line to solve day-to-day hiccups so the CEO doesn’t get dragged in.

Requirements

  • Previous experience in an office admin, executive assistant, or operations support role preferred.
  • Solid skills with Google Workspace (Docs, Sheets, Calendar) and basic office tools.
  • Clear, professional written and verbal communication.
  • Able to work on-site at our office 4–5 days per week , with some flexibility for errands or remote check-ins if needed.
  • Must have reliable transportation.

Bonus Skills (Nice to have, but not required)

· An interest in fashion, style, or design

· A good eye for keeping the office looking polished and on-brand

· Comfort snapping quick photos or light social posts

· Friendly, hospitality mindset — enjoys making people feel welcome

· Experience helping with small team events or gatherings

· Comfortable learning simple digital tools to stay organized

Schedule & Compensation

  • Part-Time: ~20-25 hours per week to start
  • Hourly Rate: $18–$20/hour, depending on experience
  • Opportunity to transition to full time and/or grow into a larger Office Manager role as the company expands.
