DEVELOPMENT DEPARTMENT ASSISTANT

DESCRIPTION

Floral Services, LLC, is looking for a Development Department Assistant to provide support and assistance to the product development department throughout the development process, with a focus on sample management. Our ideal candidate has meticulous attention to detail, a love for home décor, and enjoys being hands-on with products. This is a skilled and responsible position requiring great communication skills, and the ability to work in a fast-paced environment.

The Development Department Assistant will be responsible for requesting, tracking, checking in, labeling, and photographing development samples for multiple projects within the decided-upon timeline. They will also effectively monitor and present sample updates to relevant team members.

Floral Services is headquartered in the Iron Fireman Collective building in SE Portland, Oregon. As an industry leader we design and produce a wide array of floral hardgoods, seasonal décor, candles, plush toys and more for retailers throughout the US and globally. This role is full-time, with a requirement to be on-site.

ESSENTIAL FUNCTIONS

  • Work effectively under time constraints to meet deadlines and manage several different tasks concurrently

RESPONSIBILITIES

  • Track new sample developments through email and follow up on ready dates with buying agents
  •  Own the sample request process & monitor/schedule delivery of samples from overseas
  • Update sample statuses in a shared tracking sheet
  • Report sample status to cross functional teams and troubleshoot for any roadblocks to on time delivery
  • Locate samples upon arrival and review for accuracy to what was requested
  • Sort samples into appropriate categories, check-in using tracking sheets
  • Photograph samples and be responsible for lighting, proper focus, exposure, composition, color balance, image format and resolution to satisfy each job (this is a trainable skill and previous experience is not a requirement)
  • Edit photos according to customer specifications
  • Notify appropriate team members to continue the next steps in sample life cycle
  • Prepare shipment check in forms for incoming air shipments to ensure all pallets and boxes are received
  • Create customer sample labels and apply to all samples
  • Pack and ship samples (4 boxes or less)
  • Coordinate with Operations to schedule packing assistance (4 boxes +) and truck delivery to customer meetings
  • Add item notes and testing requirements to the PO Notes column in the cost file for relevant items
  • Create item line sheets in Excel and compile sample catalogs in PowerPoint
  • Title sample photos with correct item number naming system
  • Upload photos to our ERP software system
  • Save factory catalogs and organize by country/year
  • Update candle fragrance files
  • Assist the development team with creative projects and file setup
  • Availability to travel to customer meetings and set up samples

QUALIFICATIONS

  • Associate degree or equivalent experience
  • Strong Microsoft Office experience, specifically Excel
  • Strong verbal, written, and organizational skills
  • Graphic design or photography experience is a major plus, but not a requirement!
