SUMMARY

We are seeking a highly organized and experienced Contracts Administration Supervisor to lead a team responsible for customer service, contract administration, and order fulfillment in a high-precision manufacturing environment. The role requires a proactive and detail-oriented individual with leadership skills and a strong understanding of order management and regulatory compliance across various industry standards. This position is ideal for someone passionate about managing customer relationships, process improvement, and team development within the aerospace, defense, or manufacturing sectors.

RESPONSIBILITIES

• Supervise a team of contract administrators, ensuring performance goals are met and training is provided as needed.
• Act as a liaison for customer communication, including RFQs, purchase orders, order confirmations, and status updates.
• Monitor internal and customer-facing performance metrics to ensure contractual obligations are met and satisfaction is achieved.
• Maintain accurate documentation and records for all customer transactions in compliance with regulatory and company standards.
• Assist in resolving discrepancies between purchase orders and quotations; ensure terms and conditions are reviewed and approved as needed.
• Enter orders and manage data integrity within the ERP system, ensuring proper documentation is attached and orders are confirmed promptly.
• Provide administrative support for repair and overhaul orders, including issuing RMAs, quotations, and shipping documentation.
• Support forecasting activities by managing and updating forecast orders based on demand and customer communication.
• Ensure compliance with government and industry regulations, including FAR, DFAR, ITAR, FAA, and quality standards such as AS9100.
• Serve as a backup for other territories or team members as needed, ensuring consistent service and support.

QUALIFICATIONS

• Minimum 7 years of experience in a customer-facing administrative role involving contract processing, ERP order entry, and service coordination.
• At least 2 years of supervisory experience is required.
• Understanding of U.S. Government contracts and FAA regulations preferred.
• Proficiency in Microsoft Office, ERP systems, and database tools.
• Strong organizational, decision-making, and communication skills.
• Bachelor’s degree preferred.
• Must demonstrate professionalism, punctuality, and a proactive approach to leadership.
